BUNYAN CENTRE – POLICIES AND PROCEDURES

Booking Activities/Sports Procedures

Leisure Card Holders – Bookings can be made from 9.30am up to 7 days in advance. Payment can be made at the time of booking or upon arrival for the activity / sport.

Non Leisure Card /holders – Bookings can be made from 9.30am up to 6 days in advance. Payment must be made at the time of booking.

Cancellations – Please notify the Centre if you cannot attend an activity/sport.

Cancellations with 48 hours notice – For paid bookings a credit will be issued or transferred to a future date. For unpaid bookings the court will be cancelled.

Cancellations with less than 48 hours notice - A credit or transfer will only be given if the activity/sport can be resold.

Payment of Activities/Sports – Please register your attendance upon arrival at reception. The activity/sport should be paid for prior to commencement of the activity/sport.

Payments

Cheques – Please make cheques payable to ‘Bedford Borough Council’.

Credit Cards – Credit card payments can be made over the telephone, web or in person.

Equipment Changeovers

Equipment Changeovers – Equipment changeovers where required will commence immediately the buzzer sounds to signal the end of the previous session. The changeover will be completed as quickly as possible after the start of the session. No allowance can be made for any playing time lost due to equipment changeovers, but play will not be interrupted before the end of the session buzzer. Equipment changeovers are kept to a minimum, but are sometimes unavoidable.

Lost/Found Property Procedures

Lockers – Lockers are provided for the storage of personal belongings, please do not leave any items unattended as this restricts the changing space available for other customers. Clothing or items left unattended in the changing rooms any be removed by members of staff and taken to reception.

Lost Property – If you have lost or mislaid equipment, clothing or personal belongings please contact reception. Items of property are logged and stored for 30 days. If we do not have your item please leave your name, a contact number and a description of the lost item. If the item is handed in we will contact you to arrange for collection of the item.

Found Property – Items of property found are logged and stored for 30 days. Please note items of underwear, socks, hair bands and brushes are not logged or stored for hygiene reasons.

Claiming Found Property – Please contact reception for items of found property, the log will be checked against the description of your item. If you enquiring whilst at the Centre and we have the item it will be collected from storage and you will be asked to sign for receipt of the property. If you are enquiring by telephone the item will be held until your next visit or until the 30 day expiry period. Upon collection of the item and you will be asked to sign for receipt of the property.

Credits Procedures

Casual Activities/Sports – Credits are given at the discretion of the Centre Management. Credits for casual activities/sports are valid for 3 months from the date of issue and after this period will be deleted from Centre records. Credits can only be used for the purpose for which they were received eg. A badminton court credit can only be used for a future badminton court. Credits are not transferable to other DSD Leisure sites.

Block Booking/Course – Credits are given at the discretion of the Centre Management. Credits for block booking/courses are valid for 6 months from the date of issue and after this period will be deleted from Centre records. Credits can only be used for the purpose for which they were received eg. A trampoline course credit can only be used for a future trampoline course. Credits are not transferable to other DSD Leisure sites.

Claiming a Credit – When booking the activity/sport please notify reception that you have a credit and the date it was issued. The Receptionist will confirm the credit and complete the booking as normal.

Customer Safety

Fitness Classes – In the interest of a safe and effective work out please arrive on time for the class as entry cannot be permitted 5 minutes after the scheduled start time of the class.

General Safety – In the interest of safety, please inform the Duty Manager, In advance, if you have any medical condition which may affect your ability to exercise. All information will be treated in confidence.

Photography – The unauthorised use of cameras is strictly forbidden. This specifically includes mobile phones with camera or video facilities. Anyone found contravening this may face legal or criminal action.

Child Protection – DSD Leisure are committed to providing a safe environment for children to partake in sport. There is a child protection policy and officer on site and anyone with concerns can contact the following agencies: Social Services 01234 345331, (Social Services) Emergency out of hours duty team 01582 576195, Bedfordshire Police family protection team 01234 271212, NSPCC National Helpline 0800 800500.

Inclement Weather

The outdoor courts are by their nature affected by the weather conditions throughout the year and the centre has established a system for visually checking play conditions.

Fog/mist – If fog/mist is affecting the courts/pitches, play will be postponed if the goal at one end of the court/pitch cannot be seen from the opposite end.

Rain – If heavy rain is affecting the courts/pitches, play will be postponed if the court/pitch surface is not draining water, and slipping becomes a potential hazard.

Thunder/lightning – If thunder/lightning is affecting the surrounding areas, play will be postponed until the threat of lightning has passed over the area.

Frost/ice – If frost/ice is affecting the courts/pitches, play will be postponed if the court/pitch is deemed unsafe, as slipping becomes a potential hazard.

Weather conditions may change during the course of a game and the umpire/referee must then decide if the game can continue under the prevailing conditions.
